Discover What’s New with the Release of Totara Learn 11

Written by Lambda Solutions | Apr 5, 2018

Site registration is now included on the Totara Registration page. Users with site configuration capabilities will be automatically redirected to the correct site page once the update and registration have been completed. Registering a site enables Totara Learn 11 to connect invoiced subscriptions, in turn, allowing the site to reconcile valid and complete subscriptions. Totara uses this update to better focus time on versions of the software that are being actively used.

Remember Me
Login Function

All users are now able to remain logged into Totara, despite time-out settings. By clicking the Remember Me box upon login — which replaces the now defunct Remember login box — Totara alleviates the need to login every time a user needs to use the system.

Conditional Access to Content

New conditional access plugins are now available with Totara Learn 11 that allows administrators and users to restrict access to specific content within courses. Conditional access restrictions included in this new update include organization, position held, language, and audience membership.

Auto Scheduled Reporting

Totara Learn 11 now enables users to send automatic scheduled reports to themselves, provided this new option is permitted by the site administrator. Two main capabilities of this function include the ability to allow a user to create scheduled reports, and the separate ability for a user to access, view, edit and/or delete all scheduled reports. User reports may also be filtered by the new unconfirmed status. This function allows site administrators to define and restrict access to reporting for users who have registered but are not confirmed in Totara Learn.

Program & Certification Tag Inclusion

The Totara 11 updates now allow users to add two types of tags to certifications or programs. Official tags may be defined by site administrators, or by learners for their own personal use. Tags may also be set to apply to individual course content by enabling the tags functionality advanced feature.

Registration

Site registration is now included on the Totara Registration page. Users with site configuration capabilities will be automatically redirected to the correct site page once the update and registration have been completed. Registering a site enables Totara Learn 11 to connect invoiced subscriptions, in turn, allowing the site to reconcile valid and complete subscriptions. Totara uses this update to better focus time on versions of the software that are being actively used.

GDPR Compliance

As of May 25th 2018, GDPR will be enforced, affecting all EU citizens working and/or living within or outside of the EU as well as organizations with clients in the EU even if they are based elsewhere. Totara Learn 11 represents a special interim release designed to support new GDPR compliance laws for learning management platforms, making it easy for users to understand who will have access to their information, what that data will be used for, and to provide consent to site policies regarding use of personal data.

Under the new GDPR laws, the system needed to generate accurate and complete copies of records in readable human and electronic formats to allow for applicable inspection, copying, and review. Totara Learn 11 addressed this compliance issue by providing extensive reporting capabilities to view, filter, and export data to a number of usable formats. The Record of Learning provides a comprehensive record of learning in web accessible and downloadable versions.

Totara 11 also addresses issues of user authentication and control via a new system of roles and assignments that are controlled by username and password and/or authentication plugins to support LDAP authentication. Totara Learn 11 also records a user’s ID and the date and time of an approved event to support new legislation that requires the system shall ensure all signed electronic records contain a printed name of the signer, and what time the signature was provided — Totara Learn 11 now logs all three signature items for every action across the system.

New consent policies allow administrators to create, publish, and update multiple policies that end users have agreed to. This feature ensures that it’s easy for administrators to monitor active policies and identify those who may need to new policy versions if/when policies may change in the future.
