Organisation

Organisations can be used to associate users within a specific hierarchy, and can represent company locations, departments, or faculties.

Users associated with a particular organisation can be enrolled in designated lessons. Organisations can also act as another way for you to effectively report on groups of users.

For example, you can create an audience that groups users who belong to a certain organisation. These users can then be enrolled in specific learning, or be assigned to a particular learning plan.

Organisations can be used to differentiate between different regional divisions of a particular company.

Organisations can be used to differentiate between different departments of a particular company. In this example, we can group users based on the different roles that they play in a health care setting.

 Position

Similar to organisations, position hierarchies can allow you to set up one or more positional structures to give more detail, or conditions, to your users. Position hierarchies can also help define job roles that are present in your organisation. 

Users associated with a particular position hierarchy can be enrolled in designated lessons. Positions can also act as another way for you to effectively report on groups of users.

Creating a Organisation/Position Hierarchy

To create a hierarchy for either organisations or positions, you will first need to create a framework. This can be done through creating a position hierarchy, but this can also be applied to organisations. 

Step 1: Create a Framework

1.  Go to Site Administration > Positions to access the Positions page.

2.  On the Positions page, click on the Add new position framework button.

3.  Enter a name for your framework.

4.  Enter a unique framework ID Number. This ID Number will be used when uploading data through HR Import.

4.  Once you are complete, click Save Changes at the bottom of the page.

Step 2: Adding Positions to a Framework

1.  After creating the framework, you should be able to see a link to it. Click on the link to begin adding positions.

2.  On the specific framework page, you can add new positions by clicking on the 'Add new position' button.

3.  Enter a name for your position.

4.  Enter a unique position ID Number. This ID Number will be used when uploading data through HR Import.

5. If necessary, select a Type for your position to fall under. This allows the position to possess any custom fields that have been assigned to a particular type.

6.  Click the 'HR Import?' checkbox to allow the position to be updated through HR Import.

7.  Once you are complete, click Save Changes at the bottom of the page.

Step 4: Adding Positions in Bulk

Adding positions in bulk to a hierarchy can be useful if there are many child positions under a particular parent position.

Examples include having multiple positions under a manager, or having multiple cities within a particular region. 

However, if you would like to include shortname or ID numbers for each position, you may want to use the manual 'Add new position' button or use HR Import. 

1.  To add positions in bulk, select Add from the Bulk Actions drop-down menu.

2.  When adding positions in bulk, you can create parent-child relationships.

Select a parent position from the pre-existing positions of the framework in the drop-down menu.

If the position(s) that you will be creating are the highest available ones, then select Top.

3.  Enter the individual positions names into the field, with one name on each line.

4.  Once you are complete, click Save Changes at the bottom of the page.
