This article demonstrates how to create a Contract Code for customers to use on the Lambda Suite.

Contract Codes Overview

Contract Codes can be given to customers and allow them to be registered with a particular company within the Store, and to access promotional pricing. Once customers enter their Contract Code and corresponding Contract Password, their Store profile will be updated to include their company information. Contract Codes also allow you to provide company members with promotional pricing for specific products, which can be configured to allow for split pricing between the company and the customer.

Store administrators can view contract code usage and invoice companies by using the Usage Report by Company.

Contract Code Configuration

1.  On the Lambda Store Admin panel, click Marketing > Contract Code to access the Contract Code page.

2.  Click Add New Contract.

3. Determine whether you would like to immediately enable your contract code, or keep it initially disabled.

4.  Enter a Contract Description for your contract code.

5.  If necessary, you can set a To and From Date to restrict when your contract code is enabled.

6.  Select the Company that your contract code applies to using the corresponding drop-down meu.

7.  Select the Contract Manager who will be responsible for managing contract approvals. This user can belong to any Store role, and will manage approvals from their My Account page.

8.  Enter a customized Contract Password for your customers to enter.

You can also click Generate Password and enter an appropriate password length to create a randomized one.

9.  Enable or disable the following settings.

Determine whether products are Shipped to the Company or to the Learner. If Ship to Company is enabled, then products will be shipped to the listed to the company address and shipping fees will be waived for the customer.

Determine whether or not Tax is Invoiced by User or by the Company.

Select an appropriate Contract Invoicing Period: Monthly, or End of Contract.

Determine whether the Contract Code will prompt the learner to enter their Manager, Branch, and Location.

10.  Once you are complete, click Save. You can now create specific Contract Codes to give to customers, and set up specialized Contract Code Pricing for products.

Adding a Contract Code

1.  On the Lambda Store Admin panel, click Marketing > Contract Code to access the Contract Code page.

2.  Click on corresponding Edit link of your contract code.

3.  Navigate to the Contract Code page, and click Generate Contract Code.

1.  Configure the following fields.

If you a specific Contract Code that you would like to use, enter it in the corresponding field.

If you have a specific Prefix that you would like to use, enter it in the corresponding field. A corresponding numerical value will be generated after your prefix.

If you would like to specify the Length of your contract code, enter it in the corresponding field.

2.  Once you are complete, click Generate Contract Code. Your code can now be given for customers to use. If necessary, you can also generate multiple codes under the same configuration.

Once your contract code is generated, you will receive a Contract Code & Password, or a Contract Code Link that you can provide to customers.

shuffle-2  Automatically Generating a Contract Code

1.  If you would like to auto-generate a contract code, simply click Generate Contract Code while leaving the fields blank. You will receive a Contract Code & Password, or a Contract Code Link that you can provide to learners to use.

2.  By default, this contract code will be formatted in the following way:

The prefix will be set to C.

The code will have 6 numbers in length.

The starting number will be 1. Because the code shown below was the third code generated in the system, its number is 9.

Auto-generated contract codes can be configured to have a custom prefix, starting number, and length. If you would like to edit how your contract codes are formatted, please contact the Lambda Support team.

TIP  TIP

If you choose to provide a Link, let customers know that they must first be logged in to their account before they can paste the link into their browser URL.

Adding Contract Code Pricing

1.  On the Lambda Store Admin panel, click Marketing > Contract Code to access the Contract Code page.

2.  Click on the corresponding Edit link of your contract code.

3.  Navigate to the Contract Code Price page, and click Add Product to Contract.

4.  Using the corresponding drop-down menu, select your desired Product.

5.  Determine whether or not learners with the applied contract code can purchase this product by using the Disable Product for this Contract box.

6.  If you would like to limit the number of times a customer can purchase a product using your contract code, enter the value into the General Available Purchase field.

7.  If you would like to offer a lower refund fee, enable the Contract Fee Enabled option. If the Contract Fee is enabled, enter the discounted refund fee into the next field.

8.  Enter the promotional Contract Product Price.

9.  Enter the promotional Contract Product Bundle Price. This will be the price given to the product when it is included within a bundle.

10.  Select whether the Learner pays the entire Contract Product Price, or if the Company pays for a portion of it.

11.  If you want the Company to pay a portion of the Contract Product Price, enter a Company Pay Price to determine how much they will pay, and which Company will pay for it.

12.  Once you are complete, click Save. Customers who have applied the contract code will now be able to see Contract Prices on the Suite, or will be unable to see Disabled Products on the Catalog.

online-course-4   Adding Course Extensions to Your Contract Code

Any existing course extension can also be included in your contract code, and you can also create contract code pricing for each extension length. You must first create the initial course pricing before you can add course extension pricing.

1.  After you have created your initial course pricing, locate your product on the Contract Product list and click Edit under Actions.

2.  Each course extension length will appear within a greyed-out box, which will display each extension information. Enter the new Course Extension Contract Price into the corresponding field.

3.  Once you are complete, click Save. Customers who have applied the contract code will now be able to see Course Extension Contract Prices on the Suite.

Email Learners

If you decide to create any changes for your contract code, such as editing the date enabled or including new contract pricing, you can choose to email learners and notify them of these changes.

1.  On the Lambda Store Admin panel, click Marketing > Contract Code to access the Contract Code page.

2.  Click on the corresponding Edit link of your contract code.

3.  Navigate to the  Email Learners page, and click Send Email.

4.  Enter an appropriate Message Title and Body.

5.  Select which learners will receive the email by clicking on their corresponding checkbox. If you would like to select all learners, click on the checkbox on the table header.

6.  Once you are complete, click Send Email.

Managing Contract Code Approvals

If the Ask for Manager, Branch, and Location setting has been enabled, then customers will have to initially request to purchase a Contract Code item. Designated Contract Code managers can manage these requests from their Store account.

1.  Log in to the Suite, and navigate to My Account > Contract Learner Approvals.

2.  On the Contract Code Approval page, you can navigate between the View All, Pending, Approved, and Denied tabs to view your requests. 

3.  If you would like to approve or deny a request, locate the request on the list and select the appropriate Status from the corresponding drop-down menu. Then, click Save.
